Position Overview:
Pu’u O Hoku Ranch, a family-owned operation located on the east end of Molokai, Hawaii, is
seeking an experienced and self-motivated Office Manager. Our ranch is dedicated to managing
precious forests, agricultural and pristine conservation lands. We operate a rustic Retreat Center
supported by a biodynamic farm, an apiary, and a small cattle operation. As the Office Manager,
you will be vital in supporting our commitment to land stewardship by efficiently managing
administrative tasks and providing essential support to our diverse team.
Responsibilities:
- Administrative Operations: Oversee and manage daily administrative tasks, ensuring
smooth office operations. - Communication and Coordination: Serve as a central point of contact for internal and
external stakeholders, maintaining clear and effective communication. - Financial Management: Assist with financial processes, including accounts payable and
receivable, payroll, and budget tracking. - Document Management: Maintain accurate and organized records, files, and databases.
- Administrative Support: Provide administrative and secretarial support to ranch staff,
managers, and owners, assisting with documentation, scheduling, and other
administrative tasks. - Ranch and Retreat Center Support: Collaborate with the Retreat Center team, assist with
guest reservations, event coordination, and other related tasks. Cover for the fulfillment
and hospitality managers during their absence, ensuring uninterrupted operations in
their respective areas. Support staff and partners with ranch programs and projects as
needed. Source products for all departments, considering the unique challenges of our
remote location, to ensure supplies availability. - Self-Direction: Demonstrate self-motivation and self-direction in managing tasks,
prioritizing responsibilities, and finding solutions.
Qualifications:
- Experience: Proven experience as an Office Manager or in a similar administrative role,
ideally within a ranch or agricultural setting. - Self-Motivated: Ability to work independently with minimal supervision, demonstrating
initiative and self-direction. - Organizational Skills: Strong organizational skills with attention to detail, ensuring
accuracy in administrative tasks and record-keeping. - Communication: Excellent verbal and written communication skills, enabling effective
collaboration with internal and external stakeholders. - Kindness and Respect: Exhibit kindness and respect in all interactions, fostering a positive
and supportive work environment. - Familiarity with Land Stewardship: Understanding and appreciating the importance of
land stewardship and conservation practices. - Software Proficiency: Experience with office software applications such as MS Office,
Quickbooks, ADP, and database management. - Flexibility: Ability to adapt to changing priorities, seasonal demands, and occasional
evening or weekend work. - Passion: An appreciation for the natural beauty of the Hawaiian lands and a commitment
to sustainable practices.
